Invoice Generator (PDF)

Make a clean invoice or billing statement with your logo, line items, discount and 12% VAT or no VAT, then download it as an A4 or Letter PDF. Free, no sign-up, nothing uploaded.

Who this is for: Freelancers and small businesses that need to send a clean invoice or billing statement to a client. This is not a BIR-registered invoice: if you are registered with the BIR, you must still issue your registered invoice for each sale.

How to make an invoice

  1. Fill in your details once: name or business name, address, contact details, TIN if you want it shown, and your logo. They stay saved in this browser for your next invoice.
  2. Enter your client’s details, the invoice number, issue date and due date, and pick the currency.
  3. Add each item with a quantity and unit price. Use ↑ and ↓ to change the order. The amounts and totals update as you type.
  4. Add a discount if you give one, and choose the tax: None if you are not VAT-registered, VAT 12% if you are, or a custom rate for other countries.
  5. Put your payment details in the notes (GCash, Maya, bank account, PayPal), click Create PDF and download it.
  6. Next time, click New invoice. Your details, tax setting and notes stay, the items and client are cleared, and the invoice number goes up by one.

Example: a VAT-registered web developer

Carlo bills a client for a website: 1 × website design at ₱40,000 and 12 months of hosting at ₱500, which is ₱6,000. The subtotal is ₱46,000. He gives a 10% discount (₱4,600), so the VATable sales are ₱41,400. VAT is 12% of that, ₱4,968, and the total due is ₱46,368. If Carlo were not VAT-registered, he would choose None and the total would be ₱41,400.

Need to check a VAT amount, or remove VAT from a price that already includes it? Use the VAT calculator. To send the invoice together with a signed quotation or proof of delivery in one file, use Merge PDF.

What to put on a good invoice

  • A unique invoice number for every invoice, in order (INV-0001, INV-0002…), so you and your client can track payments.
  • Clear descriptions: what you did or delivered, and the period or project it covers.
  • A due date and exactly how to pay, including the account name, so the payment reaches you without back-and-forth.
  • If you are BIR-registered, issue your registered invoice for the sale as well. Keep this PDF as the billing statement you send to ask for payment.

Frequently asked questions

Is this an official BIR invoice or receipt?

No. Under the Ease of Paying Taxes (EOPT) Act, BIR-registered sellers must issue a registered invoice for each sale of goods or services. That invoice must be printed under a BIR Authority to Print or come from a BIR-registered computerized or e-invoicing system. A PDF made here is a billing document for asking your client to pay. It does not replace the registered invoice you are required to issue, and your client cannot use it to claim input VAT.

Should I choose VAT 12%?

Only if you are VAT-registered with the BIR. If you are not VAT-registered (for example, you pay percentage tax or chose the 8% income tax rate), choose None, because non-VAT sellers must not add VAT. The 12% is added on top of the prices you enter. If your prices already include VAT, use the VAT calculator first to get the price without VAT.

Why does the PDF show “PHP” instead of the ₱ sign?

The standard fonts built into every PDF reader do not have the peso sign, so it would show up as a blank box or a wrong character. To keep the file small and readable everywhere, the PDF writes the currency code PHP before each amount (for example PHP 1,500.00), which is common on invoices. The form on this page still shows ₱.

Is my information saved or uploaded?

Nothing is uploaded. Your invoice is saved only in this browser on this device, so a refresh does not lose your work. Click “New invoice” to start the next one with your details kept, or “Clear everything” to remove all saved data. On a shared or office computer, clear everything when you are done.

How is the discount applied?

The discount is taken from the subtotal first, then tax is computed on the discounted amount. You can enter the discount as a fixed amount or as a percentage of the subtotal.

Can I add many items?

Yes. Long descriptions wrap onto several lines, and when the items do not fit on one page the table continues on the next page with the column headings repeated and page numbers at the bottom.
